How to recover emails, contacts and other data from Outlook

Outlook stores e-mail messages, address book entries, and other data in a PST (Outlook Personal Information Store) file. If you have made a backup of the PST file or need information from another PST file, restore it via Outlook. Losing this information can be scary, but Outlook makes data recovery very easy, allowing you to recover your Outlook contacts and emails.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007, 2003; and Outlook for Microsoft 365.

Recover Outlook PST file for mail, contacts and data

If you have a backup of a PST file and want to restore data in the PST file, import the backed up PST file. You can use this backup PST file to restore Outlook data to the same computer, to another computer or to another email account.

  • Go to dossier > Open and export > import export. In the 2007 and 2003 perspectives go to dossier > import and export.

  • Choose Import from another program or filethen select Next.

  • Choose either Outlook data file (.pst) or Personal Folders File (PST) depending on the version of Outlook you are using, and then select Next.

  • Choose Keep sailing to browse and select the PST file you want to import data from.

    Outlook may be looking for a backup.pst file in the DocumentOutlook files folder. Choose Keep sailing to change where it searches.

  • Choose one of the following options:

    • Replace duplicates with imported items: Imports all data and overwrites the data in the existing PST file, which is identical.
    • Allow creation of duplicates: Imports all data and creates duplicates of identical items. Each email and contact will be imported even if those items are included in the existing PST file.
    • Do not import duplicates: Data matching the existing file will not be imported.
  • Choose Next.

  • Either select the folder you want to import from (optional). Including subfolders, and where to import. Choose filter to filter specific emails for import.

  • After defining the import settings, select End.

  • If you want to recover a PST file in Outlook and use it as another data file, add the PST file as a second account along with the default account.

  • Go to dossier > Account settings > Account settings.

  • In which Account settings in dialogue go to file.

  • Choose Add to to add another PST file in Outlook.

  • Choose Outlook data file (.pst) and select OK.

  • Select the location of the PST file, select the file name, and then select OK.

  • Highlight and select the PST file Set as default to make it the new default data file.

  • Choose Close.
